Privacy Policy
Last updated: October 2026
HTI Software & Consultancy BV respects your privacy. This policy explains what personal data we collect when you use this website, why, and what rights you have.
What we collect
Contact form (“Start your project” / contact): your name, email address and the project details you choose to provide (including description and budget indication).
Chat assistant: the messages you type into the AI assistant, together with your IP address for abuse prevention. If you book an intro call or ask to be contacted through the assistant, it passes your name, email address, phone number if given and a short summary of your question to our team with your agreement, and adds the appointment to our Google Calendar (you receive an email invitation).
Free website check: the web address you have checked and the result of the check. To limit abuse we only keep your IP address in an unrecognisable (hashed) form.
Usage statistics: anonymous, cookieless visit statistics (which pages are visited, which website or campaign you came from, phone or computer). No IP address or visitor ID, stored with Supabase in the EU. We do not build individual profiles from this.
On our ad landing pages we also measure anonymously how long you stay, how far you scroll, what you click and how far you get in the form (which fields you touch, never what you type). Also without cookies, IP address or storing anything on your device; we respect Do Not Track.
Only with your consent: advertising cookies from Meta (Facebook, Instagram) and Google, to measure which ads lead to a request.
Only with your consent: Microsoft Clarity records how you move through our pages (clicks, scrolling) as heatmaps and recordings, so we can see where the site can improve. Form fields are masked.
Where your request came from: if you arrived through an ad or campaign link, we store the click ID from that link (such as Google's gclid), the campaign tags (utm) and the first page you visited with your request. Your browser only keeps this during your visit (sessionStorage); it is only sent when you submit a request yourself.
Why we process it
To respond to your request and prepare a quote or intro call (performance of, or steps toward, a contract).
To operate and improve the assistant and the website (legitimate interest).
To measure which ads work, but only if you gave consent in the cookie banner (consent). Without consent those scripts do not load.
To know which ad a request came from and whether it led to an assignment (legitimate interest). If you become a client, we may tell Google that a click led to an assignment: only the click ID, the date and the amount, without your name or contact details.
We never sell your data.
Processors & transfers
We use a small number of processors that handle data on our behalf: Supabase (storage of requests and website checks, in the EU: Ireland), Formspark (form delivery), Anthropic (the chat assistant), Google (calendar and email for appointments) and Vercel (hosting and cookieless analytics). With your consent also Meta Platforms Ireland and Google Ireland (ad measurement) and Microsoft Ireland (Clarity, usage analysis). Some of these may process data in the US; transfers rely on standard safeguards (including Standard Contractual Clauses).
Retention
We keep enquiries as long as needed to handle your request and, where we work together, for the duration of that engagement plus statutory periods. Chat and statistics data are kept no longer than needed for their purpose.
Your rights
You have the right to access, rectify, erase, restrict, object to and port your data. Send your request to info@htisoftware.com.
If you disagree with how we process your data, you can lodge a complaint with the Belgian Data Protection Authority (www.dataprotectionauthority.be).
Cookies
Necessary: we remember your cookie choice (and a saved draft of your request) in your own browser. Our visit statistics are cookieless and aggregated.
Ad measurement, only with consent: the Meta pixel and the Google tag set cookies (such as _fbp, _ga and _gcl_au) to see which ads lead to a request. If you say no in the banner, they do not load.
Usage analysis, only with consent: Microsoft Clarity sets cookies (such as _clck and _clsk) to show visits as heatmaps and recordings. If you say no in the banner, it does not load.
You can change or withdraw your choice at any time via “Cookie settings” at the bottom of every page.
Automated decision-making
We make no decisions about you based solely on automated processing. The AI assistant provides information and can schedule an intro call; every enquiry and appointment is followed up by a human.
